Moving your family across the state — or even just a few hundred miles — is one of the biggest logistical challenges you’ll ever face. Without a solid plan, small details can slip through the cracks and turn an exciting new chapter into an overwhelming mess. That’s why having a reliable long distance moving checklist makes all the difference.
At All Star Movers & Storage, we’ve spent more than 20 years helping families in the San Francisco Bay Area, Sacramento, and the Central Valley make smooth, stress-free long-distance moves. We’ve seen what works — and what doesn’t. This checklist is built from that real-world experience.
Whether you’re relocating from Dublin to Sacramento or from San Jose to Modesto, use this guide to stay organized from the moment you decide to move all the way through your first night in your new home.
8 Weeks Before Your Move
Starting early is the single best thing you can do for a long-distance family move. Eight weeks out gives you enough runway to make smart decisions without rushing.
Research and Book Your Moving Company
Long-distance moves require a licensed, insured moving company that has experience handling interstate or extended-distance hauls. Look for a BBB-accredited company with verifiable reviews. Ask specifically about their licensing, insurance coverage, and experience with long-distance routes in California.
Book as early as possible. Peak moving season in the Bay Area and Sacramento runs from May through September. Availability fills up fast, and last-minute bookings often come with higher rates and fewer options.
Take a Full Home Inventory
Walk through every room and document what you own. Take photos or short videos of furniture, appliances, and valuables. This inventory serves two important purposes. First, it helps your movers give you a more accurate quote. Second, it gives you a record in case you need to file an insurance claim later.
As you go, make three piles: items to move, items to sell or donate, and items to discard. The less you move, the lower your cost and the faster your move day goes.
Set Your Moving Budget
Long-distance moves cost more than local ones. Factors that affect your price include total distance, total weight or volume of your belongings, the time of year you move, and any add-on services like packing or storage. Request free quotes from at least two or three companies so you can compare accurately. Make sure each quote covers the same scope of work.
6 Weeks Before Your Move
With your mover booked and your budget set, it’s time to start handling logistics. Six weeks out is the right time to tackle paperwork and begin sorting your home.
Notify Important Parties of Your Address Change
Start updating your address early. Here’s a list of who to notify:
- United States Postal Service — Submit a mail forwarding request at usps.com
- Employer and HR department — For W-2s and direct deposit
- Banks and financial institutions — Checking, savings, and credit card accounts
- Insurance providers — Health, auto, home, and life insurance
- Subscription services — Streaming, magazines, meal kits, and anything else delivered to your door
- Government agencies — IRS, Social Security Administration, and DMV
- Your children’s schools — Request records and transcripts early
Begin Decluttering Room by Room
Don’t try to declutter the whole house in one weekend. Instead, tackle one room per week. Start with spaces that tend to accumulate the most forgotten items — garages, attics, and spare bedrooms. Donate usable items to local charities in Dublin, Livermore, or wherever you’re currently located. Sell larger items through Facebook Marketplace or Craigslist.
Meanwhile, begin collecting free or low-cost packing supplies. Many grocery stores, liquor stores, and big-box retailers in the Bay Area will give away sturdy boxes for free.
4 Weeks Before Your Move
One month out is when your move starts to feel real. This is also when most families hit their first wave of stress. However, if you’ve followed the checklist so far, you’re already ahead of the curve.
Start Packing Non-Essential Items
Pack items you won’t need for the next four weeks first. This includes off-season clothing, books, decorative items, extra linens, and anything stored in closets or cabinets that you rarely touch. Label every box clearly on the top and at least one side. Include both the contents and the destination room at your new home.
Use a color-coding system to make unloading faster. Assign each room a color, then mark boxes with colored tape or stickers. Your movers will know exactly where each box goes without stopping to ask.
Arrange for Children and Pets on Move Day
Move day is chaotic. Doors open and close constantly, movers are carrying heavy items, and the schedule can shift unexpectedly. For everyone’s safety and sanity, arrange for kids and pets to spend move day with a trusted friend or family member. This is one of the most overlooked steps on any family moving checklist — but it makes a huge difference.
Confirm Storage Needs
Sometimes your move-out date and move-in date don’t line up perfectly. If there’s a gap of days or weeks between leaving your old home and getting into your new one, short-term storage is a practical solution. All Star Movers & Storage offers short-term storage options for families in transit. Ask about availability when you confirm your moving details with our team.
2 Weeks Before Your Move
Two weeks out, your focus shifts to finalizing details and making sure nothing is forgotten. This is also a good time to start preparing emotionally — especially if your family includes young children who may be anxious about the change.
Confirm All Moving Details
Call or email your moving company to confirm the following:
- Move date and estimated arrival window
- Full pickup and delivery addresses
- Any special handling instructions for large or fragile items
- Payment method and final pricing
- Contact information for your move coordinator
Additionally, confirm parking arrangements at both your current and new addresses. Long-distance moving trucks are large. In dense areas like San Francisco or San Jose, you may need to reserve street parking or obtain a temporary no-parking permit from your city.
Pack an Essentials Box for Each Family Member
Pack one clearly labeled box or bag that travels with your family — not on the truck. For each person, include:
- A change of clothes for two days
- Toiletries and medications
- Phone charger and any other essential electronics
- Snacks and comfort items for children
- Important documents (more on this below)
This box should be the last thing packed and the first thing accessible when you arrive.
Gather and Secure Important Documents
Never put critical documents on the moving truck. Keep these with you at all times during the move:
- Passports and birth certificates
- Social Security cards
- Medical and vaccination records for each family member
- School records and transcripts
- Financial documents and insurance policies
- Lease or mortgage documents for your new home
Store these in a waterproof folder or small lockbox that stays in your vehicle throughout the move.
Move Week: The Final Push
The week of your move is all about execution. Most of the planning is done. Now it’s time to follow through.
Finish Packing and Prep Your Home
By Monday of move week, your home should be almost entirely packed. Leave out only what you need to get through the next few days. Disassemble large furniture if needed — bed frames, dining tables, and large shelving units. If your movers are handling disassembly and reassembly, confirm that in advance.
Clean out your refrigerator and freezer. Use up perishables, donate non-perishables, or pack shelf-stable food in clearly labeled boxes. Defrost your freezer at least 24 hours before the movers arrive to prevent water damage.
Do a Final Walkthrough Before the Truck Leaves
Before your movers pull away, do a complete walkthrough of your home. Check every room, closet, cabinet, and outdoor space. Look in:
- Attic and crawl spaces
- Garage shelving and cabinets
- Under beds and inside wardrobes
- Backyard sheds or storage areas
Also confirm that all utilities have been scheduled for disconnection. Notify your gas, electric, water, and internet providers of your final service date.
Settling Into Your New Home
Arriving at your new home is exciting — but the work isn’t quite over. A little structure in the first 48 hours goes a long way.
Prioritize the Rooms That Matter Most
Don’t try to unpack everything on day one. Instead, focus on the rooms your family needs immediately: bedrooms, bathrooms, and the kitchen. Getting beds set up first gives everyone a comfortable place to sleep on the first night. That matters more than you might expect after a long travel day.
Therefore, save living room furniture, artwork, and decorative unpacking for later in the week when the pressure is off.
Update Your California DMV Records
If you’re moving within California, you have 10 days to notify the DMV of your address change. Update your driver’s license address online at dmv.ca.gov. If you’re moving from another state into California, you have 20 days to obtain a California driver’s license and register your vehicle.
Introduce Your Family to the New Neighborhood
Finally, take a walk around your new neighborhood within the first few days. Find the nearest grocery store, pharmacy, urgent care clinic, and park. If you have school-age children, drive by their new school so the surroundings feel familiar before the first day. These small steps help everyone — adults and kids alike — start to feel at home faster.
